4. Management Function : End-User Contract

4.1. The list of End-User (Child) Contract

At the portal screen, the following menu will display. “Child Contract” will display at the upper-side screen. This is a more efficient management function for a Partner to manage the multiple end-user contracts belonging under a same prater contract.

If you select the “Subcontracts” menu in the above figure, a list of subcontracts up to 100 will be displayed.

Note

The portal functions other than the subcontract management function are the same as portals for other general users, so please refer to the corresponding tutorial page for the operation method etc. If the target subcontract does not appear in the subcontract list, search for the target subcontract by :ref: contract_search .

4.2. Creating a New End-User Contract

If you select “Create new end user contract” from the child contract list page, you can create a child contract from the next page. Enter the required fields and click “Create” to create a new child contract.

The [ Channel ], which is a management group for all contracts, enables all the end-user contract linkages. When only one list will be displayed, please select the displayed one.
A Login ID and its Password (Credential) are a Login ID and its Password (Credential) of the admin-user of a end-user contract management. Please set up these by using the designated letters, numbers and signs.

Note

By using 6 - 50 letters of half-width alphabetical letters and half-width numbers, you can designate any ID you need. This ID allow you to utilize this by being linked with the Partner-side system.

Once you have marked to the [ Send a Notification Email ] check box, a notification email on end-user contract creation could be sent to a specific address, which you have designated when creating an end-user contract.

4.4. Viewing the End-User Contract Information

You can check the contract information of the child contract by selecting the ID starting with the econ of the target child contract or “Details” at the right end from the page below.

From this screen, the following setting / confirmation is possible.

  • Information of contract group

  • Setting of propriety of referring to charge information from End-User

  • Notification Setting

  • Delete End-User Contract

4.5. Workspace management for child contracts

You can manage the workspace of the child contract by selecting the target child contract from the page below and selecting “Workspace”.

Create a new child contract’s workspace

Partners can create workspaces in their child contracts (end-user contracts).

By the operation shown above, the page shown below is displayed, and you can create a workspace for the selected child contract by clicking “Create new workspace”.

Operations such as creating a workspace on the [ Create New Workspace ] page are the same as operations under a general contract, so the operation method is Create a new workspace .

Setting access permission for child contract workspaces

For workspaces that belong to a child contract, you can grant access permission to users in the parent contract in addition to the users in the child contract.

You can grant access permission to the workspace belonging to the child contract by following the steps below.
On the workspace list page of the child contract, select the workspace for which you want to set the access permission. Transit to the dashboard with the child contract workspace selected. Click [ Manage Workspace Access Permission ] from the workspace name pull-down in the header.

On the workspace access permission edit page as shown below, check the user ID of the general user to whom you want to grant the access permission, and execute “Save”. In addition to child contract users, it is also possible to select self-contract users (parent contract users).

By enabling the “Automatic Workspace Access Permission” setting in the profile of the user of the parent contract, when the details page of the workspace of the child contract is opened, the access permission to itself and the target workspace is automatically granted.

Change the description of the workspace

You can change the workspace description that you entered when you created the workspace.

From the workspace selection state, select “Details” from the pull-down menu. The workspace information shown below is displayed. Select “Edit”.

In the edit page as shown below, enter a new description of the workspace and execute “Save”.

Switch workspaces

By selecting “Switch Workspace of end user contract” from the workspace details page, you can move to the workspace list of the child contract with the selected workspace and select another workspace. If you want to select a workspace for another child contract, move to the workspace list page for the target contract again from the child contract list.

4.6. Users Management on Child Contract ( End-User Contract )

After selecting a target child contract from the following screen and choosing [User], you can refer the profile of user.

The page shown below is displayed, and you can display the profile of the user who belongs to the contract by clicking the details.

By selecting “Add user”, it is possible to add a general user to the child contract.

In addition, it is possible to change the contract user of the target child contract. Click the following button from the contract user profile screen of target contract.

The page shown below is displayed, select the general user you want to be the new contract owner, and click the “Save” button.

A confirmation popup will be displayed, so if you select “OK”, the contract user will be changed.

Users other than the contract owner can be deleted. Click “Delete User” at the top right of the profile below. A confirmation pop-up will be displayed. Select “Delete” to delete the user.

4.7. Notification of Child Contract

Partners can set whether to receive the email notified from Smart Data Platform for child contracts (end user contracts).

Access the contract information of the contract you want to set from the child contract list page. Click “Edit” from “Mail Notification Sending Setting” in the figure below on the contract information page.

As shown in the figure below, the page will change to the “Mail Notification Sending Setting” page. Check the category of emails to be received for the child contract, and if not, uncheck it and “Save” Click the button.

Once update completed, will move to contract information screen.

It may take time to reflect notification settings.

Type of email

Smart Data Platform will perform the following email notifications for child contracts regarding services.

Note

Users of child contracts can individually change their reception settings with User notification setting management function , but the category which is not selected to receive in :ref:` contract_notification` is not displayed on the setting screen and can not be changed.

The contract owner cannot disable the reception setting. General users can disable the settings at once or set reception for each workspace to which they have access permissions.

4.8. Verifying a Use Charge for Every Single End-User Contract.

Any Partners can verify the price information on a child contract ( End User Contract ) under the relevant partner contract.
There are two ways to check the charge information.
  • Usage fee for child contract: Usage fee charged by the parent contract to the child contract.

  • Usage fee for Parent contract (wholesale): Usage fee billed by us to the parent contract and usage fee used by the child contract

Select the target child contract from the screen below.

In ‘Billing’, the monthly usage fee used by the child contract is displayed.
In ‘Billing (Charged)’, you can check usage fee to the child contract.
The charges displayed in "Fee (billing details)" are the monthly charges when the corresponding child contract uses Smart Data Platform, and the same is displayed on the child contract portal. (Please refer to Viewing the End-User Contract Information if you want to disable the display on the child contract portal.) Partners can use it as reference information when billing service fees to end users.

Since the displayed contents are the same as general contracts, the contents are described as Management of contract information .
You can check Summary format on the screen for both ‘Billing’ and ‘Billing (Charged). In Summary format, the usage fee per workspace is displayed.

More detailed usage fee can be confirmed from ‘ Download CSV (Detail format)’. In detail format, you can check detailed information such as plans and regional information for each menu.
Partners can download the CSV of all usage fee of the child contracts they manage as a zip file.
Select ‘Download CSV (Summary format)’ or ‘Download CSV (Detail format)’.

Partner can download all of the billing data of contracts, including their child contracts, by CSV files. Click on “Billing D Billing Data Bulk Download”

As shown in the figure below, select a period from 1 month (current month) to 24 months and click “Create zip file” to start creating the ZIP file, and when it is completed, the download will start.

ZIP file contains CSV file of monthly billing data.

From November 10, 2021, we will provide two format, a Summary format and a Detail format.
Usage fee (Summary format)
・Usage fee is displayed for each workspace used, and the usage fee is basically displayed on the screen based on the usage record up to the previous day.
・Usage fee can be got by using the API.
■ Usage fee (Detail format)
・You can download a CSV file that contains detailed information such as plans for each menu and regional information.
・Usage fee can be got by using the API.

You can also check usage format before October 2021 from the tab ‘Usage format before October 2021’ on the left side. (It will be provided until the end of November 2022)
Some changes have been made in order to match usage fee after November 2021. For details, see ECL2.0 Billing Changes .
■ Usage fee format before October 2021
・Displays for each tenant, menu, and resource used.
The usage fee information displayed on the screen can be downloaded as a CSV file.
・Usage fee can be got by using the API.

About CSV format, see Managing contract information . For usage fee format before October 2021, the following record type numbers will be added as delimiters for each child contract in addition to the normal CSV structure.

Usage fee of parent contract (wholesale)

With this function, it is possible to download the details of the charges charged by you and the charges for the child contracts that you are charged in one go.
Select ‘Billing history’ from the super user menu in the header.

You can check usage fee (Summary format) from the screen below.

From ‘Billing Data Bulk Download’, you can check usage fee billed by us to the parent contract and usage fee used by the child contract
In ‘Billing Data Bulk Download’, select usage fee format and period from 1 month to 24 months, and click ‘Create zip file’. The ZIP file creation will start, and when it is complete, the download will start. The created ZIP file contains a monthly CSV file.

About CSV format, see Managing contract information . For usage fee format before October 2021, the following record type numbers will be added as delimiters for each child contract in addition to the normal CSV structure.

4.9. Manage access permission to child contract

Smart Data Platform has a function to manage which child contract each partner user may access.

This function is available on either screen as below.

Function Overview

  • If you do not use this function, you can access all child contracts from all partner’s contract users as shown on the left.

  • By using this function, you can create contract groups and limit child subscriptions that you can access within the scope of each contract group.

  • Users within each contract group can view and operate only child contracts for which access permissions are set for that contract group.

  • Contract groups can be organized hierarchically. When granting access permissions to a contract to a contract group, access permissions must be granted to the contract group higher than the contract group.

Create Contract Group

Contract groups can be created from the list of contract groups. First, select “Add child contract groups” for the contract group to which you want to add a child group.

On the subsequent screen, specify the contract group name and description. You can use any characters for contract group name in single byte alphanumeric characters and symbols, and in description. In addition, both contract group name and description can be changed later.

When you have completed the input, click the “Create” button.

Add child subscription access to Contract Group

Add the child contracts that you want to give access to the contract group. First, select "Child Contract Assignment" for the contract group to which you want to add child contracts. Check the child contracts you want to add to the contract group and press "Complete Changes".

  • One child contract can be added to multiple contract groups at the same time.

  • When adding an access right to a child contract to a contract group, if the contract group above the contract group does not have the access permission, the access permission is automatically granted

  • If you deny access permissions to a child contract from a contract group, access permissions to that child contract are removed from all the contract groups below that contract group.

Add user to contract group

Click "Add User" in the contract group for the child contract to which you want to add a user. Check the users you want to add to this contract group and press "Complete Changes".

  • Unlike child contracts, users can belong to only one contract group at the same time. If you add a user to a contract group by performing the above operation, that user will not belong to the previous contract group.

  • Since the contract user belongs to the Root contract group, it is not possible to change the contract group to which it belongs.

Notes

  • When a user belonging to a contract group creates a contract, the new child contract is added to the contract group to which the user belongs from the beginning.

  • When a user is first created on the login portal, that user belongs to the Root contract group and all child contracts are accessible. Please move the contract group immediately when access restriction is necessary.
